enrollutils — mass termination, re-enrollment, FSA

w_term / u_terminate — Group Termination

  • Purpose: terminate an entire group/division as of a date. enrollutils/w_term hosts enrollutils/u_terminate ("visual interface for n_terminate").
  • Fields: group ID (sle_group, resolved to divisions via d_term_groups), termination date (em_term_dt), termination code (d_term_codes / dddw_term_codes), scope checkboxes: members, eligibilities, elections, coverages, "term all" (cbx_members, cbx_eligibilities, cbx_elections, cbx_term_all, coverage picker d_coverages).
  • Validations: group must resolve, date and termination code required (of_term_members pre-checks); engine-level pre-checks per scope (n_term_enroll.of_check_members/_eligibilities/_elections).
  • Behavior: enrollutils/n_term_enroll gathers affected subscriber keys (d_term_keys: subscriber eligibilities active on the date) then issues batched dynamic SQL updates (1000 keys per statement, commit per batch) against ELECTION_COVERAGES (MEMBER_ELECT_EXP_DT/_EXP_CD), ELECTIONS (ELECT_EXP_DT/ELECT_EXP_CD), MEMBER_ELIGIBILITIES (EXP_DT) and MEMBERS (MBR_TERM_DT), each limited to records effective on and not already expired before the termination date. Coverage-only termination (of_term_coverage) limits to a chosen coverage.
  • Errors: shown in w_term_errors ("window to display errors for u_terminate", d_term_errors).

w_reenroll — Group Re-enrollment

  • Purpose: create follow-on enrollment periods after a group termination.
  • Fields: group ID, prior expiration date, two expiration/termination codes, new effective and expiration dates, division multi-select (d_term_groups), coverage multi-select (d_reenroll_coverages, d_group_covr) or "all coverages" checkbox.
  • Validations: each selected division's coverages must fall within the group coverage period (wf_check_group_covr); a group period record must exist covering the dates (wf_checkperiods, otherwise "you must set up the group in Client Maintenance").
  • Behavior: calls n_term_enroll.of_termenroll_eligibilities / _elections / _coverage / _categories per division; the eligibility source is members whose latest eligibility was expired with the matching code on/after the prior term date (d_reenroll_elig, NOT EXISTS a later period). Related of_create_* functions insert the new records.
  • User guide coverage: none. Section 12 "Re-Enroll Group" of ch. 1 is an unfilled stub — it lists the window's fields (Group ID, All Divisions, Affected Group(s), Previous Period expiration date/code, New Period effective and expiration dates/code, All Coverages) with blank descriptions, under the note "I have no information on this function" (User Guide ch. 1). The behavior above, derived from n_term_enroll, is therefore the only specification of this function that exists.

FSA windows

  • w_fsa_notices — "Flexible Spending Account Notices": notices and summary listings per filing period (d_fsa_filing_period, d_fsa_notice, d_fsa_notice_member, d_fsa_summary).
  • w_fsa_depcare_tax_statements — dependent-care FSA end-of-year listings and tax statements (d_fsa_depcare_eoy_listing, d_fsa_depcare_tax_rpt1/2, paid by calendar/plan year DWs).

enrolaud — Enrollment Audit Log

w_enrollment_log — "Enrollment Audit Log"

  • Purpose: "This window holds the audit log for enrollment activities" (object comment); read-only change history for one subscriber family.
  • Lookup: last name search (w_member_select_by_last_name), SSN search (w_homer_social_search), SSN edit mask; resolves the subscriber via family and collects all dependent keys (event ue_retrieve).
  • Data: audit events from aud_trail_mbr (d_audit_trail_enrollment: dep_member_sys_key, sub_member_sys_key, audit_dt, tbl_name, tbl_key char(500) tilde-delimited snapshot, audit_activity char(3), audit_user_id, chg_desc char(2000), chg_comment char(2000)).
  • Presentation: one tab per audited table — members, member_eligibilities, elections, election_coverages, member_cat_val, addresses, coord_of_bens, students, member_waiting_periods — each seeded with current base-table rows rendered as an "Insert" baseline (d_audit_trail_members, d_audit_trail_member_eligibilites, d_audit_trail_election, d_audit_trail_election_coverages, d_audit_trail_member_cat_val, d_audit_trail_addresses, d_audit_trail_cob, d_audit_trail_student, d_audit_trail_waiting_pd, d_audit_trail_dep), then augmented with decoded audit rows: the window filters dw_audit_trail per tbl_name, tokenizes tbl_key (wf_get_token, wf_get_token_address) and converts legacy date formats (wf_cvt_string_date handles both dd/… and mm/dd orders).
  • Options: cbx_deleted includes deleted-record events; per-row narrative compute: "On <create_dt> user <create_user_id> <action>d this record".
  • Menu: m_enrollment_log_menu.
  • Access: the user guide describes this window as showing "all changes made to a selected member's data while the member was enrolled in the Homer system" and states plainly that it "will not be available to most users" — i.e. it is a security-restricted, MIS/administrator-facing tool rather than an enrollment-clerk one (User Guide ch. 1).

enrolrpt — reports

w_annlstmt — "Annual Statement"

Generates the annual employee benefit statement per group: employee selection (d_annlstmt_employees, member select popup w_annlstmt_member_select "for selecting a member when multiple members exist with the same ssn"), front/back pages, coverages, member coverages, dependents and beneficiary name DWs (d_annlstmt_*). Options per group in w_annlstmt_option_maintenance over annual_statement_options (include salary / domestic partner / all coverage indicators, custom and location instructions, print division name, contingent beneficiary, include AD&D dependents), group picker w_annlstmt_group_select. w_annlstmt_report_date ("Receive Annual Statements") stamps members' statement-received date by system key (d_annlstmt_report_date_members).

w_census_rpt_args_sheet / w_census_rpt_display — Census reports

Operator procedure (User Guide ch. 1, Census report): the window selects the census report to run and the client groups to include, then runs it. "Run report as of" restricts the report to members active in the selected groups as of that date. Available Groups is a tree view of every group the user may access, with an Exclude Terminated Groups checkbox; groups are moved into and out of Chosen Groups by mouse drag-and-drop, after which the Retrieve toolbar icon starts the report. Coverage Levels is a multi-select list controlling which secondary coverage levels print — single and family are included in every report by default. The report runs at the user's own terminal, and output is produced afterwards through the normal Windows print or file-save functions (there is no server-side batch scheduling). The guide's catalogue of available census reports — Flex, With Dependents, by Birthdate, City and State, Hire, Name, State, Zip Area, Zip Code, Company-wide by Name, Company-wide No Divisions, PCS, Sales, Sales Corporate, Employee List, Age Bracket, HCN by State, HCN by Member, Name with Elig Periods, PCP, Life/AD&D, Confirmation, Medicare COB, Over 65 — matches the DataWindow inventory below, confirming that the batch_reports rows are the deployed report list rather than a superset.

Parameter sheet ("Window for selecting parameters of census reports") whose report list comes from the batch_reports table filtered to report_type = 'census' (dddw_rpt_select: report name, code, DataWindow, parameter window); results shown in w_census_rpt_display. Census DataWindows include: d_census_by_name, d_census_by_birthdate, d_census_by_city_state, d_census_by_state, d_census_by_zip_code / d_census_by_zip_area, d_census_by_elig_period, d_census_by_hire, d_census_with_dependents, d_census_pcp, d_census_pcs, d_census_life_add, d_census_flex_*, d_census_cw_by_name*, d_census_hcn_*, d_census_84, d_census_sales_summary*, d_census_medicare_with_cob (members with Medicare COB; per-member medical/drug level and plan) and d_census_over_65 (members over 65 with coverage and address as of report date). Extended tier list for parameters from d_coverage_levels (code key ELECTLEVEL). Parameters travel in str_census_parms; menus m_census_args_menu, m_census_display_menu.

w_dep_audit — "Dependent Eligibility Audit"

Letter-driven audit of dependent eligibility for groups opted in via group option DEPAUDIT (d_dep_audit_group_list). Radio buttons drive first letter, second letter and final report phases; percent sampling on the first letter (em_percent). Letters print with subscriber lists and dependent panels (d_dep_audit_first_letter_*, d_dep_audit_second_letter_*); tracking is written to member_cat_val category DEPAUDIT (values include No and 2ndLetter), and the second-letter phase suspends non-responders: sets member_eligibilities.exp_dt with dep_exp_cd = 'Suspended' and closes open member_waiting_periods. Final report (d_dep_audit_final_report_detail/_summary) can be saved as text; reprints via d_dep_audit_print_rpt.

Other report windows

WindowPurpose
w_enrollrpt_deps_over_age"dependents over the age of XX" as of a date, with subscriber identifiers (d_enrollrpt_deps_age; age = floor of months between as-of date and birth date / 12)
w_enrollrpt_error_rptsEnrollment error reports: members with elections but no member coverages (d_enrollrpt_nocov) and single members enrolled in multi-person coverage levels (d_enrollrpt_single_in_multi)
w_mmo_auditMMO repricing audit/export over a date range: MMO group/section numbers from DB function SFPIDBA.F_GET_GROUP_MMO_INFO, claims with claim_id like 'EMMO%', summed REPRICE_DISCOUNT_AMT as MMO pricing (d_mmo_audit); Retrieve and Export buttons
w_hb1_report"HB1 Member Report" over d_rpt_hb1_payment

Specified but never built (User Guide ch. 1)

Three enrollment reports are listed in the user guide as "Currently Not Available", and all three are still absent from enrolrpt (and from idcard / drugplan). They are the documented reporting gaps of the module, repeated in the guide's Future Enhancements list (User Guide ch. 1):

ReportSpecified contents
Drug Plan reportAdds, terms and changes for a particular drug plan, in an appropriate format, for the employers enrolled in that group
Employer Change reportWeekly report of changes employers make directly into the system: employees added or deleted, dependents added or deleted, effective dates changed for employees or dependents, term dates added / changed / removed, lay-off or reinstatement dates added / changed / removed. Explicitly excluded: change of address, spouse's employer, date checked, occupation
ID Card reportAll members in the ID card table, by group and coverage

Additional data-only DataWindows in enrolrpt used by the above: age-bracket report (d_rpt_age_bracket), confirmation status (d_enrollrpts_confirmation_status), employee list with coverages (d_enrollrpts_eelist, d_enrollrpt_eelist_coverages), family listing (d_enrollrpts_family).
